Job Title
The Project Coordinator (PC) provides administrative, organizational, and entry-level project management support to ensure projects run efficiently, consistently, and in alignment with Courser standards.
This role is responsible for maintaining project documentation, coordinating schedules, tracking tasks and dependencies, and supporting communication across internal teams and clients. Project Coordinators may also manage Minor Projects (as defined by Courser’s project classification standards) under defined standards and with required oversight from a Regional Project Manager.
Key Responsibilities:
Project Administration & Coordination
· Maintain project documentation, artifacts, and systems of record in accordance with Courser standards; store all artifacts in SharePoint per Courser artifact governance requirements.
· Coordinate project schedules, meetings, and resources across internal teams.
· Track tasks, milestones, dependencies, and action items; follow up on assigned owners.
· Ensure required project artifacts are created, updated, and stored appropriately.
· Assist with onboarding, kickoff preparation, and project close-out activities.
Minor Project Management (As Assigned)
· Manage Minor Projects (as defined by Courser’s project classification standards) under the guidance and oversight of a Regional Project Manager.
· Execute standard project management activities, including:
· Task and timeline coordination
· Status updates and basic reporting
· Scope adherence and issue escalation
· Escalate risks, scope changes, or delivery concerns promptly to the overseeing Regional Project Manager.
Communication & Reporting Support
· Prepare and distribute project status reports, meeting notes, and action summaries.
· Support client and internal communications by ensuring timely, accurate information flow.
· Assist Regional Project Managers with executive-ready reporting and documentation.
Financial & Operational Support
· Assist with project setup activities, including confirming finance setup completion and required approvals.
· Confirm that all required Acceptance Package components (ConnectWise Opportunity, customer-signed quote, and approved SOW) are in place prior to project initiation, escalating to the overseeing RPM if any component is missing.
· Track time entry, expense documentation, and billing readiness as directed.
· Support change request documentation and routing for written customer approval prior to execution, in accordance with Courser standards.
Process & Continuous Improvement
· Follow established project management processes, templates, and standards.
· Identify process gaps or inefficiencies and provide improvement recommendations.
· Support adoption of standardized tools, workflows, and governance practices.
Qualifications:
· Associate’s or Bachelor’s degree in Business, Project Management, Information Technology, or a related field (or equivalent experience).
· 1–3 years of experience in project coordination, project administration, or an operational support role.
· Strong organizational and time-management skills with high attention to detail.
· Familiarity with Microsoft 365 tools (Planner, Teams, Excel, SharePoint).
· Familiarity with ConnectWise PSA (or equivalent PSA platform) is a plus.
· Familiarity with SharePoint as a documentation and artifact repository.
· Ability to manage multiple tasks and priorities in a fast-paced environment.
· Strong written and verbal communication skills.
Preferred Qualifications:
· Experience working in an MSP or IT services environment.
· Certified Associate in Project Management (CAPM)® preferred.
· Exposure to formal project management methodologies (Agile, ITIL).
· Interest in pursuing a long-term project management career path.

· Project Coordinators support project administration, coordination, and execution of Minor Projects, operating under defined standards and Regional Project Manager oversight.
· Regional Project Managers own end-to-end project delivery and full P&L responsibility for projects within their region.
· Senior Regional Project Managers own regional financial performance, delivery excellence, and organizational maturity, serving as the highest level of project authority short of executive leadership.
This role is intentionally designed as a developmental pathway into the Regional Project Manager position over time.
