Executive Assistant

We are seeking a detail-oriented Executive Assistant to support our Senior Leadership team. The ideal candidate will be proactive, highly organized, and able to manage multiple priorities. The Executive Assistant will handle a range of administrative duties, manage daily schedules, coordinate travel, prepare documents, and serve as a key point of contact for internal and external stakeholders.

Key Responsibilities:  
  • Executive Support: Provide support for four on-site executives and three remote executives on an as needed basis.
  • Calendar Management: Organize and manage the executive’s schedule, including meetings, appointments, and travel arrangements, ensuring effective time management.
  • Communication: Serve as a liaison between the executive and internal/external stakeholders. Screen calls, emails, and requests, responding on behalf of the executive when appropriate.
  • Meeting Coordination: Arrange and prepare for meetings, including setting up conference rooms, preparing agendas, compiling materials, and recording minutes as needed. Meetings could be local to the Greenville office or remote in various parts of the country.
  • Travel Arrangements: Plan and coordinate domestic and international travel, including booking flights, accommodations, and ground transportation.
  • Document Preparation: Prepare, edit, and format documents, reports, presentations, and correspondence with accuracy and attention to detail.
  • Project Assistance: Assist with special projects and research tasks, ensuring timely completion and keeping the executive informed of project status.
  • File and Record Management: Organize and maintain files, records, and other important documentation, both physical and digital.
  • Expense Tracking: Manage and submit expense reports and track reimbursements according to company policies.
  • Office Management:  Manage office and kitchen supplies, receive and welcome visitors, answer incoming phone calls, check and distribute mail, and coordinate with landlord and other vendors for maintenance and cleaning of office.
  • Shipping and Receiving:  Manage receiving of packages including entering information in customer ticketing system for tracking.
  • Confidentiality: Handle sensitive and confidential information with the utmost discretion and professionalism.
  • Process Improvement: Identify and implement ways to improve administrative processes for greater efficiency.


Key Qualifications:
  • Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
  • 3+ years of experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior executives.
  • Proficiency with office productivity tools, including Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and calendar management software.
  • Excellent written and verbal communication skills, with strong attention to detail.
  • Highly organized and able to multitask effectively in a fast-paced environment.
  • Discretion and confidentiality in handling sensitive information
  • Strong time management and problem-solving skills, with the ability to anticipate needs and stay ahead of tasks.

Preferred Experience:
  • Experience with project management tools and software (e.g., Asana, Trello).
  • Familiarity with virtual meeting platforms (e.g., Zoom, Microsoft Teams).
  • Experience coordinating events or large-scale meetings.
